The Missing Participants Services/Client Services Representative is responsible for performance of all activities associated with the provision of Missing Participant Services, including performance of address searches/updates, skip tracing, preparation/coordination of campaign letters and their distribution; tracking and reporting of project status/results to appropriate RCH personnel and/or clients; and timely completion of each client’s project. Additional duties related to RCH’s Automatic Rollover, Assisted Rollover, and Roll-In processes assigned as needed.

Hybrid work schedule with two days per week in office and three days at home. Additional days in office as business needs require.

Pay Range 40-42K annually.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

  • Perform address searches via the Internet, Social Media platforms, and all other available skip tracing search methods and ensure that participant records are updated accordingly.
  • Learn the RCH new business on-boarding process and requirements, including timelines and data transfer options and clearly apply that knowledge during client interactions.
  • Prepare and deliver Missing Participants Services agreement and ensure that the agreement/results meet client needs and expectations.
  • Perform client training sessions over a screen sharing platform.
  • Investigate and determine the cause of data upload failures and work with internal/external sources to resolve upload errors expeditiously.
  • Prepare and coordinate the distribution of required campaign letters and all other written correspondence required by client agreement/project.
  • Maintain status log and regularly prepare reports for RCH and client regarding status/results of client project.
  • Scan all returned mail to ensure proper address tracking and updates to RolloverHQ.
  • Retrieve the daily report from USPS related to Changes of Address and upload to RolloverHQ.
  • Prepare and deliver client specific collateral and training materials.
  • Assist the VP of Operations in creating and maintaining Operations Manual and SOP documentation for Missing Participant Services processes.
  • Become proficient in all data entry duties related to Client Services to provide coverage in the department.

ADDITIONAL RESPONSIBILITIES

  • Effectively and collaboratively work with team members, peers, and other departments.
  • Meet expectations for attendance, punctuality, and project deliverables.
  • Work continually toward self-development to stay current on industry trends affecting current and future client bases.
  • Perform other duties and participate in special projects as may be assigned.

Requirements:

  • Proficiency with Internet and Social Media research, Skip tracing, Microsoft Office, and CRM software
  • Deductive Reasoning, MS Office Proficiency, People Tracing/Public Records Research, Investigative Skills
  • Minimum of 1 year of experience in debtor/fugitive recovery (skip tracing) or internet research experience. A minimum of 1-2 years of experience in the Retirement Services Industry preferred;
  • Ability to multi-task and navigate multiple applications/tools and prioritize activities
  • Timely completion of all search projects
  • Demonstrated proficiency in reviewing and analyzing procedures, processes and results and preparing relevant and meaningful reports as a result of the analysis
  • Clear and effective verbal and written communication skills
  • Ability to work with limited supervision
  • Logically interpret and analyze problems encountered or assigned
  • Manage deliverables and resources simultaneously
  • Demonstrated ability to communicate appropriately with all levels of management and to effectively maintain a positive rapport with clients
  • Detail oriented with exceptional time management skills
